Overtime Application Overtime Tracker
Apply for Normal Overtime, submit a Post OT claim after clocking out, and follow request status.
This page explains the rules behind overtime: which overtime method applies to an employee, how overtime hours are calculated, and how requests are approved.
There are two methods. Normal Overtime is applied for manually by the employee. Post OT is calculated by the system from attendance.
Each step of overtime happens in a different place.

The method is decided by the OT Treatment field on the employee's profile.
| OT Treatment | Method | How overtime is created |
|---|---|---|
Post OT (System Generated) | Post OT | Calculated from the day's attendance. The employee submits the claim after clocking out. |
| Anything else | Normal Overtime | The employee applies with a start time, end time, and break. |
Applied for manually from Overtime Application in Personal Space.
| Rule | How it works |
|---|---|
| Overtime type | Only Normal Overtime can be applied for. Extra Work Day was stopped on 15 Sep 2026 because payroll now calculates it from attendance. Older Extra Work Day requests still display. |
| Hours | (End time − start time − break) in hours, rounded to 2 decimal places. Must be more than 0. |
| Break | Entered in minutes. Use 0 if no break was taken. |
| Overlap | A request cannot overlap another request of the employee that is still active. Rejected requests do not count. |
| Manager | The request goes to the manager set on the employee's profile. It cannot be submitted without one. |
Post OT is calculated from the employee's actual clock-in and clock-out for the day. All sessions for that day must be clocked out first.
Roster 08:00–17:00. Clock-in 06:25, clock-out 18:15.
| Situation | Result |
|---|---|
| Roster 08:00, clock-in 08:30, clock-out 19:00 | 1 h 30 m. Counting starts from the actual 08:30 clock-in. |
| Roster 08:00, clock-in 08:12, clock-out 18:00 | No claim. Only 48 minutes are left after the base, below the 60-minute minimum. |
| Any day with a session not yet clocked out | No claim until every session is clocked out. |
How a Post OT claim is submitted and what the manager is told.
The manager is the only approval step for both methods.
| Status | Meaning |
|---|---|
pending_manager | Waiting for the manager. |
completed | Approved by the manager. This is final. |
manager_rejected | Rejected by the manager. |
pending_hr | Normal Overtime approved by a manager in the mobile app. Nothing moves it further. See On Mobile below. |
The mobile app applies some overtime rules differently from the web. See Mobile App.
| Topic | Mobile app | Web |
|---|---|---|
| Who can apply for Normal Overtime | Only staff whose OT Treatment is Pre OT (Manual Apply). Staff with no OT Treatment set do not see Overtime at all. | Everyone who is not on Post OT. Post OT staff can use it as a fallback. |
| Checks when applying | No check for an overlapping request or a missing manager. | Refuses an overlapping request, or a request with no manager set. |
| Manager approves Normal Overtime | Status becomes pending_hr. | Status becomes completed. |
| Manager edits Normal Overtime | Not available. | Available, with a reason. |
| Bulk approval | Normal Overtime only. Post OT must be reviewed one by one. | Normal Overtime and Post OT. |
| Post OT claim and review | Same calculation and review as the web. The claim is submitted from the app within 12 hours of the last clock-out. | Review only. |
pending_hr, and the web has no step that moves it to completed. Anything that only counts completed overtime will miss it.
