This page explains the rules behind attendance: how a clock-in and clock-out are recorded, when a session counts as a missed clock-out, and how attendance is corrected.
Employees clock in and out from the UtopiaSpace mobile app. The web apps do not record punches. They show attendance records and handle corrections.
What the system checks and records when an employee clocks in.
The work date is the clock-in date in Malaysia time. A shift that starts before midnight belongs to the day it started. An employee can have up to two sessions per work date, recorded as Session 1 and Session 2.A new clock-in is refused while the employee still has an open session that has not reached its reset deadline. The message is: "An active attendance session already exists. Please clock out first."If an older open session has already passed its reset deadline, it is marked as a missed clock-out and the new clock-in goes ahead.A double tap or an offline retry of the same punch does not create a second session. The distance from the employee's assigned work location is recorded. Within 100 m counts as inside the geofence. This is recorded only and never blocks a punch.
How a session is closed, and what happens when it is not.
A clock-out closes the open session. Submitting the same clock-out again does nothing.Every hour, at 5 minutes past, the system marks every open session past its reset deadline as a missed clock-out.A session that has a clock-out is never a missed clock-out. If a clock-out made offline syncs late, the missed flag is removed.A missed clock-out reminder is sent every day at 7:00 AM Malaysia time. The "Clock Out Reminder" notification is removed from the inbox once the employee clocks out. When a session is marked missed, the employee is told they can submit a correction.
A monthly attendance card for one employee. It is the default view of Attendance Record in Work Space. The page's other view is a table of every employee in scope.
Shows every day of the month with Session 1 and Session 2 clock-in and clock-out times. Times are never rounded.A clock-out shows Missed if the session was flagged, or if a past day has no clock-out. Today's open session is not shown as missed.A day is marked Needs review when it was a rostered working day, it has passed, and it has no punches, no approved leave, and no public holiday. Each day shows its overtime request, if any. Overtime above 6 hours is highlighted in red as Long OT.Corrected times are marked. Only the employee's direct manager can see the correction history.Only employees inside the viewer's company and department scope can be opened.
How Work Space decides which attendance records a manager sees.
Work Space shows attendance for employees in the viewer's granted companies and granted departments, set in User Access. If either the company list or the department list is empty, no records are shown.HR Space (Non-Exec Attendance) is not limited by the viewer's data scope. HR filters the list by company.Correction reviews only show requests from the reviewer's own direct reports.
Clock-in and clock-out only happen in the mobile app. How punches are saved without signal is explained in Offline & Sync.

Staff can switch their own Attendance history to a Kong Card view. It shows each day of the month with Session 1 and Session 2 times and the day's total, which keeps counting for an open session. A clock-out shows Missed only when the session was flagged. There are no overtime, leave, holiday, or Needs review marks. The app remembers the chosen view.
Managers open a team member's card in Attendance Record, with overtime, leave, and Needs review marks.
